File Scanning Administrator

Salary:  up to £24,500 gross per annum

We are a well-established and highly respected law firm based in Swansea and are seeking to recruit two full-time File Scanning Administrators on a two-year fixed-term contract.

This is an exciting project-based role focused on the digitisation of archived client files. The successful candidates will play a key role in ensuring that confidential legal records are accurately converted into electronic format and maintained to the highest standards.

The role involves preparing, scanning, indexing and quality-checking large volumes of legal documentation. It is ideally suited to individuals who take pride in producing accurate, high-quality work and who possess exceptional attention to detail.

As part of the role, you will be required to travel between our offices and storage facilities to collect, transport and return archived client files. Accordingly, a full UK driving licence is essential.

Key Responsibilities

  • Preparing archived client files for scanning.
  • Scanning large volumes of legal documents accurately and efficiently.
  • Indexing and organising scanned files within electronic document management systems.
  • Conducting thorough quality checks to ensure scanned records are complete and legible.
  • Maintaining strict confidentiality of client information at all times.
  • Identifying and resolving document discrepancies or scanning issues.
  • Following established procedures and compliance requirements.
  • Assisting with the secure handling and storage of legal records.

Essential Qualities and Skills

The successful candidates will demonstrate:

  • A full, valid UK driving licence and the ability to travel between office and storage locations as required.
  • Strong organisational skills with a methodical approach and excellent attention to detail.
  • Accuracy and reliability when completing repetitive tasks and managing large volumes of documentation.
  • The ability to maintain concentration and deliver work to a consistently high standard.
  • Confidence in handling, transporting and storing files securely and safely.
  • Trustworthiness and professionalism when dealing with confidential information.
  • Competence in using computers and office-based systems.
  • A positive, proactive attitude and the ability to work effectively as part of a team.

Desirable Experience

  • Previous experience in an administrative, legal, records management or document scanning role.
  • Experience handling confidential or sensitive documentation.
  • Familiarity with electronic document management systems.
